Bespoke digital care records system
The Partnership in Care is a family-run business which operates six care homes across Suffolk. TPIC decided that their previous recording software could not be replaced with an off-the-shelf solution, as they didn’t fully address their needs in terms of person-centred approach to care or provide the head office with the visibility of data they required.
Collaborative design and development
Our systems team and TPIC’s care teams collaborated closely to define the core requirements for a bespoke digital solution.
The goal was to create a system that supported TPIC’s person-centred approach while introducing a consistent, structured framework for capturing and managing data across all six care homes.
Having listened to their needs and concerns, the Infotex Systems team developed a completely new platform for TPIC. The system allows care home staff to create a custom support plan unique to each resident and provides easy access to all important information about the resident. The team can record all aspects of an individual’s care and support in one location.

Key features and flexibility
A key feature of the system is an innovative form builder that enables the secure capture of any bespoke information required across the organisation. Importantly, TPIC can create and modify these forms independently, eliminating the need for additional development costs and giving them full flexibility to adapt the system as their requirements evolve.
The new platform, named Record My Care, is complemented by a configurable notification system allowing alerts to be set across all homes, at a single home or for a specific individual. These notifications can remind users to monitor an individual’s weight or blood pressure, for example. Alerts can be generated automatically by the system if any measurement falls outside an expected range, with the ranges being customisable for each person.
Implementation and future plans
As part of the launch process, data from the legacy systems was carefully migrated to the new platform, ensuring the accuracy and integrity of all individuals’ records were fully preserved. This allowed for a seamless transition, minimising disruption to day-to-day operations and ensuring that staff could continue to access vital information without interruption.
With Record My Care live in all six of TPIC’s care homes, further enhancements are planned for the future. These include looking at providing access to the system for individuals living in the home and their relatives.
